We are seeking a highly organized, resourceful, and detail-oriented Executive Scheduler to support the CEO and team. This role manages complex scheduling needs and provides administrative coordination across the organization. The Executive Scheduler will report to the Chief Executive Officer.

Given the level of participants and strength of the network, this role requires exceptional judgment, discretion, and professionalism, including careful handling of confidential information.

We are seeking a highly organized, resourceful, and detail-oriented Executive Scheduler to support the CEO and team. This role manages complex scheduling needs and provides administrative coordination across the
organization. The Executive Scheduler will report to the Chief Executive Officer.

General Summary of Responsibilities
The Executive Scheduler is responsible for managing complex calendars, coordinating high-level meetings, and supporting the execution of programs and events. This role requires strong judgment, independence, and the ability to anticipate needs, resolve conflicts, and keep operations running smoothly.

This role is ideal for someone who thrives on logistics, scheduling, and coordination across multiple stakeholders. This position works closely with the CEO, program staff, and regularly interfaces with executive assistants, senior leaders, and external partners.

Key Responsibilities
● Manage the CEO’s calendar and scheduling
● Maintain the organization-wide master calendar
● Coordinate staff meetings, retreats, and internal events
● Schedule board and committee meetings
● Support logistics for in-person and virtual events
● Maintain email groups and distribution lists
● Proactively identify and resolve scheduling conflicts
● Handle general administrative and office tasks

Experience and Requirements
● 3–5+ years in a scheduling-intensive administrative or coordination role
● Experience supporting executives and managing complex calendars preferred
● Proficiency with Microsoft Office and Google Workspace
● Strong attention to detail and deadlines
● Excellent written communication skills
● Strong organizational and relationship-building skills
● High integrity and discretion with confidential information

Desirable Qualifications
● Ability to manage multiple priorities and stakeholders in a fast-paced environment
● Highly organized with strong anticipation and problem-solving skills
● Professional discretion and ability to handle confidential information
● Strong communication and interpersonal skills, especially when working with senior leaders and executive
assistants
● Experience managing meetings on Zoom or equivalent video conferencing
